Ever since technology has made its way to the events industry, one of the main focus points for event tech developers has been to maximize attendee convenience in order to indirectly maximize the overall event ROI.
There are multiple event tech tools in the market that simplify the process of event planning and management for organizers as well as make it easier and engaging for attendees to interact with the entire event.
Hubilo is among these event tech developers whose focus is to provide a memorable and comfortable event experience for the event organizers as well as the event attendees.
One of our most recent developments is a tool that helps attendees easily navigate through your event venue and help them enjoy all you’ve planned for the event; Interactive Venue Maps.
Having recently powered mega-events such as the Vibrant Gujarat Global Summit 2019 and deriving from our past experiences with similar events, we noticed that there was a major requirement for a tool that helps attendees easily find their way across large scale venues and help them map out all that is happening across multiple venue points.
Delving into Interactive Venue Maps
So, what exactly are interactive maps and how do they work?
Interactive venue maps are basically layouts of the entire event venue that are marked with important checkpoints such as sessions, tradeshows, expos and even specific exhibitor stalls. These are uploaded and linked to the mobile event app by the organizers.
The organizers can then mark important venues across the layout that when clicked on gives details of the events happening at that specific venue. All of this can be done easily from the dashboard in the ‘Event Details’ section.
Here are the main aspects of Interactive Venue Maps:
1. Add event venue layouts
Event planners can add detailed layouts of their event venue in an image format easily through the dashboard. There are no limits on the number of layouts that can be uploaded.
Planners can thus add multiple floor plans and layouts using the interactive event venue map feature including detailed images for more convenience.
2. Customize each venue point
This is the most beneficial aspect of the whole feature. After uploading the images of the overall and detailed venue layouts, organizers can customize multiple important checkpoints across their venue and label them accordingly.
They can colour code these points in order to highlight them. Attendees can maximize these checkpoints on the app and check out what each part of the venue is made for.
3. Link event details to the venue map
One of the most convenient features of the interactive venue maps is the possibility of linking default event sections such as exhibitors to the venue map. The names of the exhibitors are displayed when attendees click on a certain stall which is then directly linked to the particular exhibitor profile.
This helps attendees locate specific stalls as well as get to know the details of the exhibitors at that particular stall and also connect with them through the mobile event app. The same process can also be followed with the session profile where individual sessions are linked to the venue where they’re being held.
4. Reverse linking
As mentioned above, organizers can link specific exhibitor profiles as well as session profiles to the interactive maps which then lead them to individual profiles and see the details for the same.
Similarly, organizers can also link the particular maps and the location where individual exhibitor stalls are placed or sessions are being held to a particular exhibitor or session profile.
So, for example, an attendee is interested in a particular session through the session profile, he or she can click on the location link on the particular session profile and the app takes them directly to the map, pointing to the particular venue where the session is being held.
The Need for Interactive Maps
Now that you’re up to speed with the feature and the workings of interactive maps, it is necessary to understand the need for such a tool. Here are a few effective benefits of interactive venue maps:
1. Easy navigation
As mentioned above, such a tool is a great way to help attendees navigate easily through your entire event venue when you are organizing events on a large scale with multiple checkpoints.
It is a great way to maximize attendee convenience, thus leading to a great event experience where half their time isn’t spent finding ‘that room’ or ‘that exhibitor section.’
2. Maximizing attendance
Such a feature helps organizers in maximizing session attendance. Attendees often tend to miss out on certain parts of the events and interesting sessions moving through the venue.
With the interactive maps, they can discover interesting sessions at specific locations and vice versa i.e. locate the exact venue where the sessions that they’re interested in are happening. This ensures that attendees attend these sessions without any issues and thus maximizes attendance.
3. Attendee engagement
With a large venue and multiple events planned with the idea of engaging attendees throughout the event, interactive maps are the perfect helping hand planners need to execute the same.
Attendees get an idea of all your formal and informal sessions, events and exhibitions happening across the venue. This helps in keeping them engaged and have them explore your entire event thus maximizing attendee interaction with your event.
4. Maximize exhibitor ROI
Many times, exhibitors lose out on valuable leads and potential customers due to the location of their stall and the scale of the venue.
Having a feature like interactive maps on your mobile event apps helps ensure that attendees can locate all your exhibitors and get the details of the same through exhibitor profile. This helps in maximizing your exhibitor ROI and in turn the overall ROI of the event.
Thus, interactive maps are an extremely useful tool when it comes to event venue management with perks for all stakeholders including organizers, exhibitors and attendees.
